FAQs
Have a question we haven’t answered? Don’t hesitate to get in touch today, to find out how we can help you.
Am I locked into a contract?
The terms depend on the service you choose. Back Office Support arrangements are agreed in a written proposal, including roles, hours, fees, billing and any notice or change requirements. The Fully Automated Practice is a defined setup, testing and handover project, with extra technical work scoped separately. Practice CRM is in development. We will explain the relevant terms before you commit.
Can a sole trader or small practice use full-time support?
Yes, if the combined workload, skills needed and budget support a permanent full-time role. A little marketing, finance, admin and client follow-up may already be spread across different people, with the owner doing the rest. Map that work together before deciding you only need a few hours.
Our Back Office Support roles are permanent full-time. We do not offer part-time VAs. A generalist can cover suitable work across several areas; specialist work, approvals and clinical judgement stay with the right people.
If a full-time role still does not fit, suitable recurring therapy-practice tasks may be supported through a defined automation project. Compare the full costs and net return, then book a Free Business Growth Call to assess your workload and options.
How do you ensure client confidentiality and security?
Confidentiality depends on the proposed work, systems and access. Before any client information is shared, agree who controls the data, where it is stored and accessed, role permissions, credential handling, training, incident response and contract terms. Succeed Practice Management and your practice should verify the privacy and professional duties that apply to the arrangement. Please do not send patient information through the website enquiry form.
Is outsourcing actually cost-effective?
It depends on the role, hours, scope, supervision, systems and total fees. Compare an Succeed Practice Management proposal with your in-house and other options on the same basis, including onboarding and management time. We will discuss the proposed service and price with you before you commit.
Will I lose control over my business?
You retain direction of your business and team. Agree the responsibilities, approvals, reporting and escalation steps for each role. Better support should make room for client care and life outside work while keeping you informed. Clinical decisions remain with appropriately qualified practitioners.
Will outsourced staff understand the needs of an Australian allied health business?
Succeed Practice Management was founded by an Australian allied health professional and supports health and medical businesses worldwide. Choose agreed support across client service, HR, marketing, bookkeeping, accounting, digital advertising, CRM, AI, IT and business operations. For each role, review the person’s relevant experience, practice software knowledge and any funding or compliance processes. Agree training and supervision before work starts.
How long does it take to get set up?
Setup time depends on the role, the selected person’s availability, your system access approvals, training and the agreed service scope. We will set an onboarding plan and start date for your particular arrangement before work begins.
How do I know outsourcing is working for my business?
Set a baseline and a few useful measures before work starts. These may include enquiry response times, client follow-up, recruitment and onboarding, finance reporting, campaign results, rework, owner time and client feedback. Review results with your team and adjust the workflow. Include the time and energy available for your life and family; revenue or time savings are not guaranteed.
What roles can I outsource through Succeed Practice Management?
Back Office Support covers the people, systems and business operations behind client care: client service, HR and recruitment, marketing, bookkeeping, accounting, SEO and digital advertising, CRM, AI, IT and business operations. Choose the roles your health or medical business needs and agree the responsibilities and relevant qualifications.
Therapy businesses can also explore The Fully Automated Practice, a defined automation setup and handover. Practice CRM is in development; register your interest or discuss your needs. These are the three service streams, with scope agreed for your business.
How do I know outsourcing won’t affect quality?
Quality depends on a clear role brief, relevant skills, onboarding and supervision. Ask Succeed Practice Management to show the proposed person’s experience and training for your systems and work, including any NDIS-related tasks. Set review points and escalation steps, and keep clinical and regulatory decisions with appropriately qualified people.
Is it more cost-effective than hiring locally?
It may be, depending on the scope, hours, fees, onboarding and management required. Compare the full cost and responsibilities of each option, including the proposed Succeed Practice Management arrangement and any applicable employment or contractor obligations. Request a written proposal before deciding.
Are outsourced professionals in the Philippines skilled?
Skills vary by person. For a proposed role, review the individual’s experience, work samples or practical task results, references where available, and familiarity with the systems your practice uses. Agree any training needed before the person handles live work.
Will communication be a problem?
Communication requirements vary by role. During selection, assess written and spoken English, client-facing scenarios, working style and escalation practices with the proposed person. Set expectations and review the work during onboarding.
What about the time difference?
Hours depend on the Australian state, daylight saving, the person and the agreed roster. Confirm the overlap your practice needs and put coverage and handoff times in the service plan before work starts.
Can I scale my team up or down easily?
Discuss changes when your business needs change. Availability, training, hours, fees and any notice requirements depend on the written service arrangement. We will agree a revised scope and handover before responsibilities change.
Are Filipino workers reliable?
Reliability is an individual and management question, not a nationality trait. Check the proposed person’s references and work practices, agree attendance and response expectations, and review performance with clear feedback and support.
Are they tech-savvy and able to use my systems?
Check the proposed person’s experience with your actual practice software and give a practical task during selection where appropriate. Plan account access, training and supervision for any system they have not used before.
Is my client data safe?
Do not give a new team member access to client data until your practice and Succeed Practice Management have agreed the role, data location, permissions, confidentiality terms, training, monitoring and incident response. Your practice should confirm its own privacy and professional obligations for the arrangement. No website statement can guarantee that a system is risk-free.
Do you use Time Doctor to monitor outsourced employees?
Time Doctor is one possible productivity tool. Agree whether tracking is needed, what it measures, who can access it and the privacy requirements before using it. Clear responsibilities, useful outcome measures, communication and supportive management matter more than desk time alone.
Any help with team management, training or systems is agreed within your Back Office Support scope.
Can I use my own tracking or management system instead?
Tell us which management and tracking tools your business uses. We will check compatibility, permissions and training needs before agreeing the role. Put the workflows, reporting and escalation steps in the service plan so your team knows what is expected.
What if my outsourced team isn’t performing well?
Review the role brief, instructions, training, workload, communication and systems with the team member. Agree feedback, review points and escalation steps. Discuss any support or replacement needs against the service arrangement, including the scope, availability and handover required.
I’ve tried outsourcing before, and it didn’t work. What’s different about this?
Start with the work and outcomes your business needs. Agree a clear role brief, relevant skills, onboarding, supervision and review points before live work begins. Discuss what happened in your previous arrangement so the proposed support addresses those issues. The goal is client care and a life and family that thrive together, supported by better people and systems.
